2. Data we collect
When you submit the membership enquiry form, we collect the data you enter: your first name, surname, email address and phone number, how you heard about HRVN, the name of the person who told you about us if you give it, what interests you about becoming part of HRVN (the options you select), and any message you add. When you let us know you are coming to a Thursday evening, we collect the same data, without the message field. When you visit the site, our hosting provider may also process technical data (e.g. IP address, browser type, date and time of access) for the purpose of delivering and securing the website. We also record how you reached this website, including any campaign parameters contained in the link you clicked and the address of the page that referred you, so that we can understand which of our communications reached you. This information is stored only for the duration of your visit and is submitted together with the form.
3. Purpose and legal basis
We process the form data solely to respond to your enquiry and to contact you about membership. The legal basis is your consent (Art. 6(1)(a) GDPR), which you give by ticking the consent box, and our legitimate interest in handling your enquiry (Art. 6(1)(f) GDPR).
4. Storage period
We store your data only as long as necessary to process your enquiry and, where applicable, for the duration of any resulting membership relationship, unless longer statutory retention periods apply.
5. Recipients
Your data is processed by us and by service providers who support us in operating this website (e.g. hosting), acting as processors on our behalf. We do not sell your data or pass it on to third parties for their own purposes.
6. Your rights
You have the right to access, rectify, erase and restrict the processing of your data, the right to data portability, and the right to object to processing. Where processing is based on consent, you may withdraw it at any time with effect for the future. You also have the right to lodge a complaint with a supervisory authority.
7. Applications
If you apply through our careers page, we collect the details you enter: the position applied for, your name, email address, phone number, language skills and message, together with the CV and any references you upload. We process them solely to assess your application. The legal bases are your consent (Art. 6(1)(a) GDPR) and steps taken prior to entering into an employment contract (Art. 6(1)(b) GDPR). If we cannot offer you a position, we erase your application and the documents you sent six months after the rejection, unless you have agreed to us keeping them on file for longer.
